How I Stay Organized

If you are anything like me

Todoist

My brain is like chrome with 20+ tabs open at any given time. @todoist helps- I add things to it and work on it later.
July 16, 2016

In the post How to build a smarter to-do list Part I Merlin mentions that in David Allen’s Getting Things Done there is an idea of taking a task (or project) and breaking it into smaller more manageable ones. I have been doing that a lot with my school work because it is easier to keep track of what I have to do next. For example if I have a paper to write the project might be called “Write Research Paper” and within that the tasks would be: pick topic, collect research,
Even collect research can be broken down into smaller more specific tasks like if there are 4 different resources i want to look at that way I don’t miss one of them.

One thing I love about Todoist is that I can do a brain dump and go back to it later to organize it. I especially like their drag and drop feature.

Due dates – I always use due dates/times whenever possible to really keep you on track. You can also select bulk tasks if you need to reschedule or post pone them.

You can sync your account to the phone app, web version and the Chrome extension.

I also like that I can add an email reminder to the task so if I’m in my email I get reminder – just in case it is something super important and my phone is out of reach.

E.gg Timer

I absolutely love this timer website and I’ve been using it for years. Open up your laptop, plug in a number of how long you want and it will set up a timer for you. I usually use it when I’m actually on my laptop doing something (usally writing) so that I can stay on track – especially if there is something extremely important that I have to do later and I don’t want to lose track of time.

Google Calendar

Google Calendar is on my laptop and my cell phone and I love that I can sync them from anywhere. You can invite people to events (via their email address) right inside of the event, you can drag and drop/reschedule events in the web version and you can create different calendars (family, personal, business and so on).

Google Calendar offers lots of different customization options and it has always been reliable and there for me when I needed it most. It also has a task option but I don’t use that anymore as I use ToDoIst much more often to keep track of tasks that need to be done.

Trello

Written Notes/Planners

I love having a paper planner – always have and always will. I haven’t been using mine as much as I used to since I have went mostly digital, however, I do keep one around and input important events such as appointments and birthdays so I can see my month at a glance.

I also prefer handwritten note taking over digital, however, I will sometimes transfer information between them. For me keeping a notepad is something I have been doing for years so I usually carry one in my purse or even around the house with me at times. I like to take notes of things to do – such as add things to my Todoist tasks and other things as well. I also like that it is easier to do a brain dump which I can eventually organize later.

More articles on staying organized

+ How to build a smarter to-do list Part I: My favorite part from this post was about delegating actively. I have a problem sometimes with delegating partially because I can be impatient and also because I am a control freak and like things done “right” the first time around.

Instead of taking over and trying to do something it is much better to simply make my task to follow-up and check-in rather than take over a project or task myself. This keeps me in charge of my part while still keeping them accountable for theirs. This is something I have been working on personally and professionally for years. I am a work in progress.

+ How I Use Trello, Asana and Evernote to Organize my Blog: Alice shares some great tips on how to organize your blog. I also think this would work well for business as well.

Email Subscriptions to Sign up For

I know – most of us continue to clean out our email subscriptions in order to get to inbox zero. I recently went on an unsubscribe spree myself. However, there are some subscriptions that I actually read and interact with so I thought I would share them here if you are looking for a daily dose of goodness.

If you use gmail I would suggest creating labels and having these automatically be labeled so that you can access them when you are ready to read them.

theSkimm: This email subscription “skims” news announcements, shares them and then offers bite size summaries that are easy to digest.

Daily Reflections by Susan Gregg: Susan offers a daily dose of thought-provoking goodness. From quotes to things that will make you dive deeper into your spirituality, there is something for everyone.

The Newsette: This subscription offers a morning update on things that are happening around the world, bits of inspirational information and topics that will spark conversations. Sign up for The Newsette via my referral link so I can earn some cool swag (and so can you once your friends sign up under your referral link).

Verily Magazine: Just think about a daily roundup of lifestyle articles, inspirational topics and much more. I love that I don’t have to go to their website everyday since they send updates daily.

Refinery29 Money Diaries: I am obsessed with this email subscription. Refinery29 sends you money diaries of people all around the globe. It includes peoples income, how much things cost and how they spend their money.

My Favorite Google Chrome Extensions

Hey techies. I’m always wondering what apps and extensions people use to get their day running smoothly. From to do lists to social media scheduling as a blogger it is important for me to stay organized and on task no matter what day it is.

These are my favorite Google Chrome Exensions.

Google Calendar: This keeps me organized and I love that I can drag events to a later time/date.
Buffer: Perfect for scheduling social media posts if you find something online that you want to share later.
Pinterest: Pin websites whenever from wherever. Add to all your boards.
Todoist: My favorite to-do list app. I tend to think of things while I’m on my computer so instead of jotting it down for later or having to pick up my phone this makes it super easy to add to my to-do list.
OneTab: I love this because you can save websites for later viewing. It is a bookmarking extension and saves the links by date so you can access them later.
eBates/Rakuten: Get money back when you shop online. The extension (when you’re logged in) alerts you of cash back opportunities on websites that you’re shopping on.
Pocket: Save things for later. Syncs with the app so you have your items on the go.
Google Scholar: This one is for college students. It is comes in handy when you’re writing papers and/or researching things.

Link Love: Organizing and Planning Tips

Now that things in my personal life have settled down a bit I have been trying to get more organized and making an effort to plan my life in advance. I notice that when I plan things out in advance things tend to run more smoothly and I have less things to worry about. Since I have been actively working on organizing, planning and cleaning up my to do list and calendars (paper and digital) I have been searching the internet for inspiration. So check out some of my favorite information that I have found along the way.

Top Organizing and Planning Tips

Organizing Tips

I really enjoyed Laura’s post How to Combat Digital Hoarding. In the digital world that we live in we now have many more digital files and without a system they can be a big old mess. Laura shares some of the things she has been working on with some great tips.

Most of my digital files are fairly organized, however, the problem is I need to purge the ones that no longer serve a purpose (and purge more often). I also want to do a better job at naming digital files and making sure they have a home. Another issue I have is that I have things in so many different places – Dropbox, Google Drive (I have my personal one and one that was used for school – they need to be merged) and on my laptop as well as some on my phone.

I really liked how Laura talked about pdf’s in her video. Nearly all the pdf’s I have are in a folder called “To Read”. The problem is, I don’t really get around to reading these as often as I should. I made a promise to myself that I would read a few every month and either archive or delete them. Some are a couple pages are tips and others are manuals, articles from when I was in school or entire books. I don’t need all of these taking up precious space and just need to go ahead and read and/or purge them.

Planning and Productivity Tips

I really love watching Nora Conrads videos on planning and productivity on YouTube. Two of my favorite videos are from her Productivity Series called The Brain Dump Method and Scheduling Your Brain Dumps.

I have been doing brain dumps for as long as I can remember. It wasn’t until a couple years ago that I found that not only did other people do it but there was also a term for it. I used to do my brain dumps strictly on paper but now I do it on paper and also in ToDoist. As Nora notes it helps to clear “mind clutter”. I tried scheduling my brain dumps but sometimes they just happen whenever they want. I know if I don’t write it down or input it in ToDoist somewhere I will probably forget about it temporarily (or permanently on some occasions). I try to make it a habit to go through my brain dumps and make actually create tasks of the information if needed that way it is organized and not just a bunch of words.

Watch all of Nora’s Productivity Series videos

During one of my late night YouTube watching binges I found this GREAT VIDEO from Speaker and Author Amy Landino titled How To Plan Your Day. My favorite part was when she said a to do list is like a junk drawer – it has a bunch of stuff in there (mostly important) but needs to be organized.

Take a look:

When I stumbled upon How To Become A Morning Person & Love It I almost skipped to something else but I really enjoyed the infographic that was in the article and there were some helpful tips there as well. I am totally not a morning person. I have tried (and failed) several times to become one and that is just not part of my genetic makeup. In face, I am up at 1:49am on a Saturday morning working on this post. Does that count as being a morning person? I am almost sleepy enough for bed but I’m enjoying working on this post.
